AI for Shop Owners & Online Sellers: 5 Prompts for Your Daily Work

Customer replies, product descriptions, weekly promotions, stock management and complaints. Five prompts for people who run grocery shops, food stalls and boutiques, and for Shopee/TikTok Shop sellers in Malaysia.

If you sell things, whether in a physical shop, on Shopee, TikTok Shop or WhatsApp, your day is full of customer messages, captions, and small decisions about prices and stock. AI can't mind the counter, but it can be an assistant that writes, calculates and plans. I picked these five prompts based on the tasks Malaysian sellers do most often.

How to use: copy into ChatGPT, Claude or Gemini, change the [ ], press Enter. Save them in your phone's Notes.

Reminder: don't put a customer's full name + phone number + address into AI. Use "Customer A". Prices and delivery promises: you decide, AI only drafts.

1. Reply to customers (questions, haggling, complaints) in 10 seconds

You are a customer service assistant for [shop name], which sells [product]. Our policies: [delivery in 2-3 days, no refunds for food items, size exchanges within 7 days].

The customer sent: "[paste message]"

Write a WhatsApp/chat reply: friendly, short, in the same language as the customer (Malay/English/mixed). If they ask about prices, use: [price list]. If they haggle, decline politely and offer one alternative (bundle/free gift). If they complain, apologise first, then give a clear solution. Under 60 words.

2. Product descriptions that sell (Shopee / TikTok Shop / Instagram)

Write a product description for [product, example: premium satin tudung bawal (square headscarf)] for [Shopee/TikTok Shop].

Structure: 1 opening line that sparks desire, 4 benefits (not features, but what the customer feels/gets), specifications in a list (material, size, colour), 1 line on guarantee/delivery, 5 search keywords that Malaysians type.

Target: [working women aged 25-40]. Casual Bahasa Melayu. Don't use "high quality", "the best", "cheap".

3. Weekly promotions that don't look desperate

I want to run a promotion this week for [product] because [I have too much stock / it's the festive season / I want to welcome new customers]. My margin is [35%], so the maximum discount is [15%].

Give me 3 promotion ideas that aren't just price cuts (example: bundles, buy 2 get 1 accessory free, a gift for reviews). For each idea: the promotion name, how to run it, a WhatsApp Status caption + a TikTok caption (under 100 words), and one risk I should watch out for.

4. Manage stock and know what is actually profitable

Paste your sales list (from a Shopee export, a notebook, or Excel) and:

This is my sales data for last month (product, units sold, selling price, cost per unit):
[paste]

Tell me:
1. The 5 most profitable products (by total profit, not units)
2. Products that sell well but have thin margins: should I raise the price or drop them?
3. Products that aren't moving: suggest ways to clear the stock
4. How much I should order for next month to avoid dead stock
Show the calculations so I can check them.

5. Negative review → a public reply that saves your reputation

A customer wrote a 2-star public review: "[paste review]".

Write a public reply (everyone can read it) in the same language as the review: apologise sincerely without blaming the customer, briefly explain what we are doing to fix it, and invite them to contact us privately. Under 70 words. Don't be defensive, and don't promise anything we can't deliver.

Bonus: a week of content planned in 10 minutes

I sell [product] to [target audience] in [area]. Give me a 7-day schedule for TikTok and Instagram: one video idea per day (one I can make with a phone in 15 minutes), a casual Bahasa Melayu caption, 3 hashtags. Mix education, behind the scenes, testimonials and promotions, with promotions on 2 days at most.
