AI for Nurses & Clinic Staff: 5 Prompts for Your Daily Work

Patient instructions that are easy to understand, quick translations, shift reports, rosters and health education materials. Five prompts for nurses, medical assistants and clinic front desk staff in Malaysia. No patient data.

Working in a clinic or on a ward is human work, but around it stands a wall of paperwork, patient instructions, translations and schedules. That's where AI can help, as long as no patient data goes in. These five prompts were chosen to be useful without breaking confidentiality.

Strict rule: DO NOT put names, IC (national ID card) numbers, registration numbers, diagnoses together with identities, or anything that can be linked to a real patient into ChatGPT, Claude, Gemini or any other public tool. Use general cases ("a diabetic patient in their 60s"). Follow your facility's policy. AI is not a source of clinical advice: all medical content must be verified by a medical officer.

How to use: copy into ChatGPT, Claude or Gemini, change the [ ], press Enter.

1. Patient instructions in language ordinary people understand

Write instructions for a patient after [example: a tooth extraction / wound stitches / starting blood pressure medication], in simple Bahasa Melayu for adults without a medical background.

Format: "What to do" (list), "What NOT to do", "When to come back or go to the emergency department" (clear warning signs). Short sentences. No jargon. Under 150 words. Mark [VERIFY] on any sentence that contains numbers, doses, time periods or warning signs. Add a note that these instructions support, and do not replace, the doctor's advice.
Before giving it to a patient: this draft must be checked and approved by the medical officer or doctor in charge. AI can get doses, durations and warning signs wrong. Don't print it or hand it out as it is.

Then: "Translate into English and Simplified Chinese." This gives you versions for different patients. Ask a fluent colleague to check the Chinese/Tamil versions before printing.

2. Translate and simplify letters / notices

Rewrite this notice in language that elderly patients can easily understand, keeping all the important facts (dates, times, documents to bring): [paste official notice]

Then give a simple English version.

3. Shift report / handover: from quick notes to tidy sentences

Practice only: use made-up notes to learn the format. Don't copy real patient notes into ChatGPT, Claude, Gemini or any other public tool, even without names. Bed numbers, dates and times are enough to identify a patient on the ward, and that is still patient data.
Turn these quick notes into a tidy handover report in SBAR format (Situation, Background, Assessment, Recommendation), in mixed Bahasa Melayu and English, as is usual on the ward. Don't add anything that isn't in the notes. Mark [CHECK] on anything that looks incomplete.

Notes (made-up example for practice): male patient in his 60s, post-op day 2, pain score 4, already mobilising, IV needs changing this afternoon, family asking when discharge is

4. Health education materials for the clinic notice board / WhatsApp

Create 5 health education points about [example: sugar control for diabetic patients during Ramadan / how to use an inhaler / childhood vaccines] for the clinic notice board, in simple Bahasa Melayu, each point under 20 words, with a friendly tone that doesn't frighten people. Add 1 line: "Ask our nurses if you're not sure". Base it on general KKM (Malaysian Ministry of Health) guidelines; mark [VERIFY] on any fact I need to check with a medical officer.

All health education materials must be approved by a medical officer before they go up on the notice board or are sent out on the clinic's WhatsApp.

5. Fair shift rosters and leave requests

Arrange a shift roster for [October] for [8] staff, 3 shifts a day (morning/afternoon/night), at least [2] staff per shift. Rules: each staff member works a maximum of [5] days in a row, gets at least [1] weekend off a month, and these requests: [Staff A on leave 3-5 Oct, Staff B can't work nights]. Give it as a table and list any rules that couldn't be met.

Bonus: for front desk staff

  • Reply to clinic WhatsApp enquiries: "Write 10 template replies for common questions: opening hours, prices for a basic check-up, insurance panels, appointments. Friendly tone, in Bahasa Melayu and English." Save them as quick replies.
  • Summarise circulars: upload a KKM/facility circular as a PDF and ask for "5 points that affect the front desk's daily work".
