n8n: Complete Beginner Guide in Malaysia (No-Code Automation)
A step-by-step n8n beginner guide for Malaysian small businesses and office workers. Build an automated order form that saves straight to Google Sheets.
If you spend part of every afternoon copying customer names, phone numbers, and order details from forms or messages into an Excel file or Google Sheet by hand, you are doing work a machine can handle in two seconds. n8n (pronounced "n-eight-n") is a visual workflow automation tool that connects your everyday apps so repetitive copy-pasting happens automatically in the background. Unlike ChatGPT — which waits for you to open a chat window and type a prompt every single time — an n8n workflow runs by itself whenever an event happens, even while your laptop is closed or you are busy serving customers at your shop.
Before building your first workflow, here are the four core terms you will see inside n8n:
- Workflow: A complete automated sequence from start to finish (for example: receive an order form → add a row in Google Sheets → send an email alert).
- Node: Each individual step block on your workflow canvas. One node represents one action in an app, such as a form block, a Google Sheets block, or a Gmail block.
- Trigger: The starting node that kicks off a workflow automatically — for instance, when a customer submits an online form or when a scheduled time arrives each morning.
- Execution: One full run of a workflow from the trigger down to the final node. Your monthly plan limit is counted in executions.
n8n Cloud vs Self-hosted: Where should you start?
According to n8n's official documentation (checked 7 November 2026), there are two ways to run n8n:
1. n8n Cloud (Recommended for beginners — no credit card required)
With n8n Cloud, n8n hosts and maintains the server for you. You simply open your web browser (Chrome, Edge, or Safari) on Windows 10, Windows 11, or Mac, sign in, and build workflows visually.
In this guide, I walk you through starting on the n8n Cloud free trial. The official pricing page states "No credit card required" to start a trial on the Starter or Pro plan, and gives your trial account the following official limits:
- a 14-day period (the sign-up button reads Start free 14-day trial);
- 1,000 executions (1,000 complete workflow runs);
- 5 concurrent executions (up to 5 workflow runs happening at the exact same moment); and
- 180-second execution timeout (a maximum run time of 180 seconds per execution).
2. Self-hosted Community Edition (Advanced option)
For technical users who manage their own servers, a free Self-hosted Community Edition is available on GitHub. However, this beginner guide does not include self-hosted terminal commands because as of n8n 3.0, the official docs state that npm-based installs are deprecated, and the supported Docker setup is beyond the scope of a first no-code workflow.
Official n8n Cloud plans and prices (Checked Nov 2026)
If you decide to keep using n8n Cloud after your free trial, n8n lists its official Cloud prices in euro (€), billed annually (the pricing page does not display monthly-billing figures):
| Plan | Price (Nov 2026) | Executions per month |
|---|---|---|
| Starter | 20€/month, billed annually | 2,500 |
| Pro | 50€/month, billed annually | 10,000 |
Both plans allow unlimited active workflows and unlimited steps inside each workflow.
Note on larger organization tiers: n8n also lists a Business plan at 667€/mo, billed annually (self-hosted only, with 40K monthly workflow executions) and Enterprise (Contact Sales, custom execution limits and unlimited active workflows).
Why counting "executions" (not steps) matters
Notice that both Starter and Pro include unlimited steps per workflow. Unlike tools that charge you every time data passes from one block to the next, n8n only counts a completed execution. Whether your workflow has 2 nodes or 12 nodes, one customer submitting an order form counts as just 1 execution.
Your first real result: A small-shop order form that saves straight to Google Sheets
Let's build a practical workflow for a Malaysian small business or office team: a customer fills out an n8n order form (Name, Phone, Order Item, and Quantity), and n8n automatically appends a new row in Google Sheets.
Step 1: Prepare your Google Sheet in your browser
First, set up the spreadsheet where incoming orders will land:
- On your Windows 10, Windows 11, or Mac computer, open your browser, go to Google Sheets (
sheets.google.com), and create a new spreadsheet namedShop Orders.- You should see: A blank Google Sheet open in your browser tab.
- In Row 1 (cells
A1throughD1), type these four column headers:Name,Phone,Order, andQuantity.- You should see: The top row of
Shop Orderslabeled with your four headers, and Row 2 empty and ready for data.
- You should see: The top row of
Step 2: Start your n8n Cloud free trial and open a new workflow
- Go to n8n.io/pricing and click Start free trial. Enter your name, a password and an Instance name (your workspace address, for example
myshop.app.n8n.cloud), then click Start free 14-day trial. No card is requested.- You should see: Your n8n workspace opens on the Assistant page ("What do you want to automate?"). The top bar shows 14 days left and 0/1000 Executions.
- Click the + icon next to the n8n logo (top left), then choose New workflow.
- You should see: An empty canvas with two choices: Add first step... or Build with AI. In this guide we build it ourselves with Add first step... so you understand every part.
Step 3: Set up the n8n Form trigger
- Click Add first step..., type
forminto the search box of the What triggers this workflow? panel, choose n8n Form, then choose On new n8n Form event.- You should see: A settings window titled On form submission, with Test URL and Production URL tabs at the top, plus Form Title and Form Elements fields.
- Fill in Form Title (such as
Customer Order Form). Then click Add Form Element for each field: fill in the Label, pick the Element Type, and to make it compulsory click Add Attributes → Required Field and switch it on. Add 4 fields matching your Google Sheet headers:- Field 1: Label
Name(type Text Input, required) - Field 2: Label
Phone(type Text Input, required) - Field 3: Label
Order(type Text Input, required) - Field 4: Label
Quantity(type Number, required) - You should see: Four fields listed under Form Elements.
- Field 1: Label
- Click Execute step at the top of the window.
- You should see: A test form opens in a new tab with the note This is a test version of your form. Enter a sample order (for example Name:
Aiman Test, Phone:012-0000000, Order:Sambal Gift Set, Quantity:3) and click Submit. The form shows Form Submitted. Back in n8n, the OUTPUT panel shows the order as a table, with the message Node executed successfully.
- You should see: A test form opens in a new tab with the note This is a test version of your form. Enter a sample order (for example Name:
Step 4: Connect the Google Sheets node to append a row
Now let's send that form submission straight into your Shop Orders spreadsheet. To connect safely, n8n uses a credential — a saved login authorization that lets n8n access your Google Sheet without exposing your password inside the workflow.
- Close the form window (the X at the top right). On the canvas, click the + icon to the right of the On form submission box, type
google sheets, choose Google Sheets, then choose Append row in sheet.- You should see: The Append row in sheet window opens. On the left (INPUT), your test order is already listed: Name, Phone, Order and Quantity.
- Under Credential, click Sign in with Google. Choose the Google account that owns
Shop Ordersand approve access.- You should see: The Credential field now reads Google Sheets account.
- Under Document, pick
Shop Ordersfrom the list. Under Sheet, pickSheet1.- You should see: A Values to Send section appears with four boxes named after your column headers:
Name,Phone,OrderandQuantity(mode Map Each Column Manually).
- You should see: A Values to Send section appears with four boxes named after your column headers:
- Drag each value from the INPUT panel on the left onto the box with the same name in the middle:
NameontoName,PhoneontoPhone, and so on.- You should see: Each box turns into green code such as
{{ $json.Name }}, with your test value (Aiman Test,012-0000000,Sambal Gift Set,3) shown under it. n8n also shows You just mapped some data!
- You should see: Each box turns into green code such as
- Click Execute step at the top of the window, then switch to your
Shop OrdersGoogle Sheet tab.- You should see: The OUTPUT panel shows the order with Node executed successfully, and Row 2 of your sheet now holds
Aiman Test,012-0000000,Sambal Gift Setand3.
- You should see: The OUTPUT panel shows the order with Node executed successfully, and Row 2 of your sheet now holds
Turning your workflow on (and checking past executions)
Until you publish, the form only works while you click Execute step inside n8n (the Test URL). To make it run by itself 24/7:
- Close the Google Sheets window (the X). At the top right of the canvas, click Publish. A Publish workflow box appears (the version name and notes are optional); click Publish again.
- You should see: A Workflow published message saying your production form URL now works. The status at the top changes to Published.
- Re-open the On form submission box, click the Production URL tab (not Test URL), and copy the link. This is the link you share with customers, for example on your social profile or in WhatsApp.
- You should see: When that link is opened in a new tab and an order is sent, the form shows Form Submitted and a new row lands in your Google Sheet without n8n being open. I tested this myself on 7 Nov 2026: the new row appeared within seconds.
- To check the history, click the Executions tab at the top of the canvas (next to Editor).
- You should see: A list of every form submission with its date, time and status, such as Succeeded in 1.366s. Each run counts as one execution out of your 1,000-execution trial.
4 essential safety rules for n8n
Because n8n connects directly to your work spreadsheets and email, keep these four rules in mind:
- Keep logins inside n8n Credentials: Always use n8n's built-in Credentials manager to connect Google Sheets, Gmail, or other services.
- Never paste passwords or API keys into a node's text field: Never type plain-text passwords or secret API keys directly into a regular message or parameter box on the canvas.
- Test with dummy data first: Always submit 2–3 fake test orders before sharing your live form link with real customers.
- Never collect IC numbers or bank details in an order form: Only ask for basic order details (name, phone number, item, and quantity). Do not use general forms to collect MyKad numbers, bank statements, or sensitive personal data.
What's next?
The workflow you just built runs reliably without using any AI credits. Later, you can add more boxes at the end, for example a Gmail box that emails you every time a new order comes in. n8n also lets you add an AI step inside a workflow — for example, calling an AI model to categorize customer enquiries or draft a reply before saving the row to Google Sheets.
